Sales follow-up

Keep the momentum after someone shows interest.

When inquiries arrive in different places, it is easy for a quote or callback to go quiet. We connect the customer record, booking and follow-up so your team can see what to do next.

A familiar situation

Interest arrives. Then the work gets busy.

A service business gets inquiries, but follow-up depends on who remembers.

  1. A website request arrives while the team is on a job. It stays in an inbox until someone has time.

  2. A second inquiry comes through an ad. The customer details and earlier messages are in another place.

  3. An estimate goes out. Nobody has a task to check whether the customer has questions.

  4. The owner tries to work out which conversations still need attention and where the leads came from.

Plan around your workload

How much follow-up needs a place?

Adjust the inputs to estimate the workload you want to address.

Estimated inquiries needing a next step each month

4 inquiries

20 monthly inquiries × 2 out of 10.

Use this count to decide who should follow up and how much work needs organizing. It does not predict extra sales.

What changes

One sales process your team can work through.

Scattered follow-up

  • Inquiries sit in separate forms, inboxes and message threads.
  • An estimate is sent without a next task.
  • Sales activity is difficult to connect to the source.

Connected follow-up

  • Agreed inquiry sources feed customer records with the relevant context.
  • Each opportunity has an owner, stage and next action.
  • Calls, bookings and outcomes are recorded so the team can review what works.

What we build

A better way, built around your business.

  • Website and supported advertising forms connected to your CRM
  • Pipeline stages, assignment and contact-matching rules
  • Booking, reminders and follow-up tasks around your sales process
  • Agreed nurture sequences with consent, opt-out and stop rules
  • Source tracking and a practical view of open opportunities
  • Testing, team training and an ongoing management option

Your proposal explains what we will build, which tools connect, who does what and the price. Software and usage fees are listed separately.

Decisions we make together

  • Which channels and offers need to feed the sales process
  • Who handles calls, replies and the next action at each stage
  • The follow-up timing, messaging rules and results to review

We put these decisions and the agreed work in writing before the build.

Before your team relies on it

Check the work.
Show people how to use it.

01

Agree what must work

Choose the first tasks, required information, people involved and connections. Your proposal states the work, price and how the finished result will be checked.

02

Test a complete task

Work through an inquiry, a reply, a booking and a sale. Check record matching, reminders and the point where the team takes over.

03

Make daily use clear

Show the team how to complete the work and fix common problems. Hand over access and instructions, then agree who handles support and future changes.

When more than one part needs fixing

The next step can connect, too.

A better sales process can pass approved jobs into delivery. A job tracker can prepare details for invoicing. We discuss those connections when they solve a real problem in your business.

FAQ

Common questions

What to expect before we start working together.

Can you run the advertising too?

Yes. Google and Meta campaign management can be included alongside landing pages, tracking and follow-up. We agree the channels, creative and responsibilities, with ad spend separate from our fees.

What happens when a customer replies or books?

Follow-up rules use the events supported by your tools to stop or change the sequence. We define the handoff to a person and test those cases before launch.

Can we keep our current CRM?

Often, yes. We review its existing features and access before recommending changes or a move. The goal is a process your team can use.

How do we know whether it is working?

We agree the measures, such as response time, completed follow-ups, conversations and recorded sales outcomes. Reports separate activity from booked work and collected revenue.

What happens after the free call?

If the work is clear, we prepare a proposal describing the build, price, timing and checks. A difficult technical question may need a separate assessment or pilot first. We explain that work and price in writing before you choose it; it is not required for every project.
