Client portals & apps

Give clients a better way to work with you.

Give customers one place to provide information, find documents, see progress and complete the next step. We design the portal around your service and connect the software it needs.

A familiar situation

Every client means another round of chasing.

A service business keeps collecting the same information and explaining the same steps by email.

  1. A new client needs the same intake questions, documents and explanation as the last one.

  2. Another client is unsure what to do before the next meeting. Their progress pauses.

  3. The team recreates a familiar brief from notes and email attachments.

  4. A larger client load would mean more preparation and more messages to keep everyone moving.

Plan around your workload

Plan around the work you repeat.

Adjust the inputs to estimate the workload you want to address.

Estimated monthly time on repeat guidance and preparation

24 hours

12 clients × 2 hours per client each month.

This estimates the preparation you do today. It can help choose a useful first project, but does not predict time or cash savings.

What changes

A service experience clients can move through.

Repeated manual delivery

  • Inputs arrive in scattered emails and attachments.
  • Clients need another message to understand the next step.
  • Your team starts the same preparation from scratch.

A structured client experience

  • Clients provide the required information in a guided process.
  • The portal shows the relevant resources, progress and next actions.
  • Your method supports useful outputs that your team can review and refine.

What we build

A better way, built around your business.

  • A clear online process built around your service
  • A branded portal or application with the access controls it needs
  • Forms, document collection and a view of progress
  • The summaries, plans or documents your service needs
  • AI support using approved sources where it adds value
  • Connections to agreed tools, testing, team training and a launch plan

Your proposal explains what we will build, which tools connect, who does what and the price. Software and usage fees are listed separately.

Decisions we make together

  • Which customers will use it and what they need to do
  • Data access, review responsibilities and what clients can change
  • What the first version must demonstrate before more customers use it

We put these decisions and the agreed work in writing before the build.

Before your team relies on it

Check the work.
Show people how to use it.

01

Agree what must work

Choose the first tasks, required information, people involved and connections. Your proposal states the work, price and how the finished result will be checked.

02

Test a complete task

Work through customer sign-in, submitting details, finding documents and completing the next action. Check permissions and the staff view of the same request.

03

Make daily use clear

Show the team how to complete the work and fix common problems. Hand over access and instructions, then agree who handles support and future changes.

When more than one part needs fixing

The next step can connect, too.

A better sales process can pass approved jobs into delivery. A job tracker can prepare details for invoicing. We discuss those connections when they solve a real problem in your business.

FAQ

Common questions

What to expect before we start working together.

What kinds of client tools can you build?

Examples include intake portals, project workspaces, guided assessments and applications that help clients apply your method. The scope follows the client task and the outcome you want to support.

Does it have to use AI?

No. Clear inputs, shared information and a useful workflow may do the job. AI is added where it improves preparation or guidance and can be reviewed appropriately.

Who owns our method and content?

Your business knowledge and materials remain yours. Ownership of the build, third-party components, hosting and access is set out in the agreement.

Can we sell access to the product?

It can be designed for paid access if that is part of the business model. Billing, delivery and support need their own agreed scope, and a pilot helps establish whether the experience is useful to clients.

What happens after the free call?

If the work is clear, we prepare a proposal describing the build, price, timing and checks. A difficult technical question may need a separate assessment or pilot first. We explain that work and price in writing before you choose it; it is not required for every project.
