A system needs attention after launch.

Keep the agreed tools and workflows useful as the business changes.

Decide who reviews issues, who approves changes and which tools are covered. A monthly agreement should say what support and improvements are included, with larger additions scoped separately.

Use a practical monthly cycle.

Review system health and reported issues. Check the reports against the decisions they support. Agree priorities, complete the included improvements and explain what changed. Keep unresolved items visible rather than letting them disappear between meetings.

Separate maintenance from expansion.

Repairing an agreed workflow and adding a new business process are different jobs. When a request introduces a new platform, integration or custom feature, define its cost and responsibility before starting. An ongoing partnership should bring clarity, not an unlimited promise.
